ABOUT THE COMPANY
The SuperMax supermarket chain is a Puerto Rican company that, since its foundation in 2003, operates under the philosophy of delivering the maximum for its community, customers, shareholders, suppliers and partners.
SuperMax employs more than 2,500 people and has 17 supermarkets throughout Puerto Rico operating in three formats: Supermarkets, House Stores specialized in wines and spirits, and an Online Store.
CHALLENGE
Every time a new employee joined the supermarket chain or wanted to change their contributions or the investment alternatives of their retirement plan, the HR team collected them manually. And week after week, upon running its payroll, SuperMax's HR team manually reconciled the ever-changing flow of employee data, changes to the 401(k) contributions and company matching. After this process, they manually generated a file with the employees' contributions and company matching and uploaded it to BPAS transactional page. After BPAS validation, they received the confirmation.
The HR team needed to simplify and streamline these core activities, reduce the manual input prone to error and the compliance risks associated with data accuracy and manual reconciliation.
OBJECTIVES
- Alleviate the burden of managing a manual process to comply with the retirement plan deadlines.
- Increase the HR team productivity through automation and contactless data collection.
- Maintain the accuracy of all retirement plan and payroll records by automatically sharing and synchronizing participant account and payroll information to keep it up to date.
- Reduce fiduciary risks associated with the plan administration and ensure ERISA compliance as the plan sponsor.
